Outlines Communications Ltd. ("Outlines", "we") is a Canadian company based in Edmonton, Alberta. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA). This policy covers outlines.ca.

What we collect

• Contact form: your name, email address, and the message you send.
• Email: anything you choose to include when you email us directly.
• Website analytics: how visitors use the site, such as pages viewed, approximate location, device, and browser. Google Analytics collects this using cookies.
• Spam protection: when you use the contact form, Cloudflare Turnstile checks technical signals from your browser to confirm you are a person and not a bot.
• Server logs: our web server records IP addresses and requests, as all web servers do, for security and troubleshooting.

How we use it

• To reply to your message and provide the services you ask about.
• To understand which pages are useful so we can improve the site.
• To keep the site and contact form secure and free of spam.

We do not sell, rent, or trade your personal information. We do not add you to a mailing list unless you ask us to.

Who else handles it

We use a small number of service providers to run the site. They process data on our behalf and may store it outside Canada, including in the United States:

• Google Analytics (Google LLC) for website statistics. Google privacy policy.
• Cloudflare Turnstile (Cloudflare, Inc.) for spam protection on the contact form. See the next section.
• Our web hosting provider, which stores the website and delivers contact form messages to us.

Information stored outside Canada is subject to the laws of that country.

Spam protection: Cloudflare Turnstile

Our contact form uses Cloudflare Turnstile to block spam bots. It usually runs in the background without asking you to do anything. When the contact page loads, Turnstile processes technical signals from your browser, such as your IP address, browser type (User-Agent), and connection details, to tell people from bots. Cloudflare says it does not use these signals to identify, profile, or target individuals.

Cloudflare processes these signals on our behalf to protect our form, and also uses them to improve Turnstile's bot detection. Its handling of this data is governed by the Cloudflare Privacy Policy and the Cloudflare Turnstile Privacy Addendum. Cookies

Google Analytics sets cookies to tell new visitors from returning ones. You can block or delete cookies in your browser settings, or install the Google Analytics opt-out add-on. The site works normally either way.

How long we keep it

We keep enquiries and related emails for as long as we need them to respond to you, provide our services, and meet business and tax record-keeping obligations. After that we delete them. Google Analytics data is kept according to the retention setting in our Analytics account.

How we protect it

The site uses HTTPS encryption. Access to our email and hosting accounts is limited to Outlines and protected with strong passwords. No method of sending or storing data is perfectly secure, but we take reasonable steps to protect what you share with us.

Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent and ask us to delete it. Email info@outlines.ca and we will respond within 30 days.

If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.
